Podcasting “Thank You” Packets

If you have ever heard me talk about podcasting, marketing for podcasting, or anything else along those lines, then you have most likely heard me talk about podcasting “Thank You” packets. In fact, you probably found this page BECAUSE I was talking about these Thank You packets and the vital role they play in the promotion of my own podcasts, That Western Life & Cowgirl 911. If you are ready to take your podcast to the next level, then you should already be creating something similar to these packets to use in your own marketing. The difference for guests, is the you may include a document prompter, graphics that specifically fit their feed, etc.

Here are some of the elements in our ever-changing and always improving podcasting “Thank You” packets~

 
 

Prompt Sheet

If you are anywhere around the world of social media, then you have probably seen all of the targeted Facebook, Instagram, even Twitter and Pinterest advertisements directed towards you in regards to post copy write and photo captions. It’s not a secret - they aren’t fun! And sometimes this can be true for your guest SO one thing that you can do is help them both promote teasers for your show, as well as the episode they star in themselves!

You can write Facebook, Instagram or Twitter copy, depending on where your show is at. Here are some tips to include for your show to help your guest find the easiest route to promoting the show.

  • Know your guests social media feed and note whether they are punny, event-based, call-to-actions, educational or historical. Depending on the vibe of their normal captions, write either 2-3 prompts OR captions that relate to their feed.

  • I highly recommend that if the guest utilizes Twitter, that you pre-write captions that fit the character count required for Twitter.

  • Tag yourself using the “@” sign in the captioning for both Twitter & Instagram posts.

  • Include any hashtags that you use for your podcast in your captions and, for Instagram specifically, include other hashtags of relevancy. This not only helps your guest, but also indirectly helps your podcast as well.

  • If you can, include prompts for before the show is live, the day the show is released, and a post announcing the show was released that week or earlier that month. That helps a guest that may have missed the LIVE day catch back up without feeling too guilty!

  • Include links to your show notes (such as your website URL) and the direct download link.

  • I also include a note about unique places that the guest can utilize the show episode to both promote them AND, again, indirectly promote your podcast.

 

Show graphics

One of the best ways that you can promote your show is through sharing your show graphics with the guest. One of the things I am very particular on is letting the guest know, especially if they are a brand or influencer that pays special attention to their newsfeed aesthetic (specifically those big on Instagram), is that they DO NOT have to put our show graphics up OR at the forefront of a post. Instead, I will lightly hint that they can put it second or later in a carousel on Instagram, therefore keeping their aesthetic to their brand sheet.

Here are a few of the graphics that you could include for your guest.

  • Square photo graphic of your post that can be used on any social media site.

  • A banner that can be used on Twitter, Facebook and/or their website or email.

  • Instagram/Facebook/Twitter Story WAVVE teaser.

  • A 45 second WAVVE teaser with photo montage can be used as either an Instagram Reel or TikTok. Please note, you can do 60 seconds with a TikTok but why reinvent and make two different ones?

  • You can also do a longer format for a paid version of WAVVE and share it as either a YouTube video OR an Instagram TV OR a Facebook episode.

 

Calendar invite

Now that you have created all of this amazing post-show marketing content for your guest, you need to make sure they have access to all of the assets. An email with the body detailing the prompts and attachments is one way to go and while I do proceed with this method, I also send them a Google Calendar Invite to a shared event that is dated for the day their show will go live with a one minute duration. I sent an alarm a few days before and then an alarm when the event happens.

In the description of the calendar event, I thank them again for being a guest on the show and I tell them that I have created a number of assets to help them promote the episode at the link in the description. That link is a shared Google Folder that is labeled “Promoting Your Episode.” The guest can then find a word document with the prompts, handles, and thank you’s! They can also find all of the graphics, labeled at the forefront with SKU’s for different social media such as IG, FB, or Twitter. It’s then followed by “Post” or “story” to differentiate even further.
